Job description and TOR for EBA Secretariat Administrator

Background

The Earth Builders’ Association (EBA) is an organization that was established to promote the use of Compressed Stabilised Earth Blocks (CSEB) in the construction industry. One of the aims of EBA is to train youth in the production of CSEB; as well as its use in the construction of buildings.   Its members are active participants in the Gambian Construction Industry.

In order to achieve its aims and objectives, EBA needs a base of operations from which to coordinate its activities. To this end, EBA has received support from the International Trade Centre in acquiring a space for a secretariat and hire an administrator for its daily operations.

The Administrator 

Reports to the EBA Executive

Serves as an ex-officio member of EBA Executive

Manages the daily operations and upkeep of the secretariat

Attends meetings on behalf of EBA executive, prepares and distributes minutes thereof

Organises EBA step-down trainings in the different regions of the country

Receives correspondence and thereafter consults with EBA executive to deliver appropriate responses

Organises events geared towards the promotion of CSEB technology

Coordinates with EBA Partners to implement validated workplans

Secures and coordinates: the placement and use of EBA property (e.g. CSEB machines)

Manages the impress given to him or her by the executive (the treasurer)

Assist in the promotion of CSEB

Any other work related to the effective functioning of the association 

Qualifications

Minimum of post-high school diploma in management or other related field OR

Minimum of high school certificate with atleast 3 years experience in a related field

Must know how to use a computer to keep records

Posses some level of Organisational skills

Interpersonal skills required to deal with the diverse members and organize engagements

Good spoken and written English; knowledge of either Wollof and / or Mandinka is an advantage

Knowledge of basic construction principles is an advantage

Terms of Reference

This is a full-time job

This is an office-based job, although occasionally, the incumbent might be required to go to the field; e.g. during regional trainings

All materials required for the proper execution of functions will be provided by EBA:

The Administrator will work from the Secretatriat

Roles and Responsibilities

The role of the Administrator is to better organize and better manage EBA activities across the country.

The Administrator facilitates the promotion of CSEB by members

The daily operation and up-keep of the Secretatriat premises

Deliverables

Facilitation / organization of CSEB trainings  

Implementation of validated workplans with Partners

Organisation of events aimed at promting CSEB

Liaison between EBA Executive and Partners

Working days :   Monday to Friday

Working hours: 08:00am to 16:00pm

Break: 14:00pm to 14:30pm
